We are looking for a Team Assistant to join our Performance Chemicals team in Houston, TX.

In this role, you will provide expert level administrative support to the VP and Leadership Team for the Fuel and Lubricant Solutions business. This involves preparing reports, presentations, handling incoming and outgoing e-mail correspondence, making travel arrangements, planning meetings and events, communicating with various departments, supporting the internal communication area with emails, coordinating schedules and other related administrative work.   

During your shift as a Team Assistant, you will

 

  • Exercise independent judgment regarding confidential company matters and the fair administration of policies affecting staff. 
  • Coordinate executive management activities, including schedule management, adapting to changing priorities, and maintaining professionalism under pressure. 
  • Create, organize, and maintain critical information using MS Office tools (PowerPoint, Excel, Outlook, OneNote, SharePoint, Teams), including gathering information, taking meeting minutes, tracking data, and preparing reports and presentations. 
  • Organize large internal meetings, maintain team distribution lists, and send group emails and announcements; support the internal communication area as needed. 
  • Arrange complex and detailed travel plans and perform administrative functions for the department requiring both specific and general administrative knowledge. 
  • Support and follow up on departmental projects, process purchase orders and requisitions for Fuel and Lubricant Solutions in Houston, TX, and perform miscellaneous administrative tasks such as preparing meeting rooms (A/V support), digital filing, faxing, photocopying, expense reporting, and purchasing activities. 
  • Screen incoming calls and correspondence, respond independently when possible, and assist the VP and Leadership Team with additional duties as assigned. 

If you...

 

  • Have a High School Diploma or GED with some years of experience in a large corporate environment. An associate/bachelor’s degree is preferred. 
  • Bring strong skills in MS Office (Outlook, Word, Excel, PowerPoint) and feel comfortable using CRM systems (Salesforce preferred), SharePoint/Google Drive, and expense/travel platforms. 
  • Have administrative or executive support experience in a large corporate environment, with prior exposure to chemical, fuels, lubricant, or technical B2B environments being an advantage. 
  • Demonstrate excellent interpersonal skills and the ability to interact effectively with all levels of the organization. 
  • Communicate clearly in both verbal and written form and maintain strong organizational and planning abilities in fast-paced environments. 
  • Show exceptional attention to detail and strong time-management skills, and function independently with minimal supervision. 
  • Work with a high degree of confidentiality, integrity, and accuracy. 
  • Are a proactive team player with strong follow-through, a customer service orientation, and a willingness to travel regionally for events or onsite support when needed.
