  • Provide secretarial services and administrative support to Director, Supplier & Reporting Greater China (GBA/CB)
  • Support Supplier & Reporting team with all related duties as assigned.

Main Tasks:

  • Answer phone calls and handle inquiries appropriately.
  • Manage supervisor’s schedule and timely update the calendar to minimize time conflicts.
  • Organize and arrange internal and external meetings.
  • Welcome and direct internal and external visitors.
  • Organize Supplier & Reporting team meetings/events, take and distribute meeting materials for follow up actions accordingly.
  • Prepare emails, correspondences, presentation materials and reports one behalf of Director, Supplier & Reporting Greater China (GBA/CB).
  • Maintain & update organization chart and email distribution list periodically.
  • Manage and maintain supervisor’s documentation/filing.
  • Collect and consolidate requested data and information from various sources including name list and email address… for special groups and ensure the accuracy.
  • Manage supervisor’s business travel arrangement (agenda, tickets & hotels booking) and prepare expense report accurately.
  • Handle mails, office supply and other miscellaneous activities.
  • Perform other tasks/projects of Supplier & Reporting team as assigned.


  • Bachelor degree with excellent written and spoken English.
  • Good communication and inter-personal skills.
  • Proficiency in MS Office (Word, Excel, Powerpoint, Teams, etc).
  • Details-oriented, high degree of multi-tasking and time management capability.
  • Ability to organize and prioritize tasks, able to draw attention for urgent and/or critical tasks when appropriate.
  • Ability to work independently and reliably.
  • Flexible and adaptable in various situations and when interacting with many different nationalities / personalities.
  • 3+ years working experience in related fields.
