Objectives of the Position

 

  • Specialist main role are to support project manager in project delivery and lead smaller scope activities in project execution (assigned by project manager)
  • Effectively support the project manager to deliver Global / Regional project roll-out services to BASF group companies and/or lead mini project rollouts. Ensure that services are delivered in accordance with established processes and work procedures and in compliance with BASF policies and local company legal and statutory requirements.
  • Work with the project manager on potential projects or lead mini project assigned, to record as well as document the scope of work and timeline, as well as budget for the project delivery.
  • Assist the project manager and/or lead mini project assigned, in quality supervision, management and support for direct and indirect reports involved in the project to ensure all scope of delivery and reporting activities are executed accurately in a timely manner.
  • Support the project manager and/or lead mini project assigned, in managing project work of scope and resolving of issues and the development of solutions.

 

Additionally for Senior Specialist:

  • To manage and lead mini project rollout independently, with less supervision from project manager.
  • Responsible to develop other project members with project management skillsets together with project manager

 

 

Main Tasks

Project Delivery

Support the project manager and/or lead mini project assigned to ensure timely and accurately deliver the project scope to the BASF group companies in Asia Pacific or Project Sponsor in accordance with the service framework as well as global, regional and local country processes and guidelines while achieving a high customer satisfaction.

  • Undertake assigned projects, monitor project performance and take corrective actions if necessary
  • Support the project manager and/or assigned mini project, to ensure that project queries are resolved in a timely, responsible and pro-active manner
  • Support to colleagues and hands-on support when required
  • Work closely with other service streams to ensure smooth project delivery.
  • Support team members in resolving project issues related to implementation solutions including communication with other project members.
  • Inform Project Manager on a timely basis about critical issues with potential solutions

 

Continuous Improvement

Identify opportunities for continuous improvement and develop solutions together with the project manager/s to achieve operational excellence and cost efficiency.

  • Understand regional and country specific requirements for project delivery.
  • Review the existing processes, infrastructure, team setup, project reporting approach and identify opportunities for improvement.
  • Maintain and improve the knowledge database of projects implemented, analyze frequently occurring issues and seek for long term solutions to facilitate continuous learning, development and cross sharing of knowledge throughout the team
  • Ensure successful implementation across the team and in the involved companies
  • Cooperate with internal and external teams and work with these teams from other service streams to identify cross-functional improvement opportunities
  • Support the implementation of other continuous improvement initiatives

 

Leadership

Proactive in creating an environment that is conducive to ideas and utilizes learning from experience to develop initiatives.

  • Set challenging goals and monitor the performance of the goals defined.
  • Proactively provide feedback to management team regarding development needs and opportunities to support development efforts
  • Encourage open communication to ensure positive morale and establishment of a learning culture

 

Compliance and Quality Management

Assist the Project Manager or for leading mini project in ensuring that all activities of the project delivery team are in compliance with relevant policies, processes and procedures to achieve excellent and consistent quality of work results, avoid compliance issues and allow for traceability of actions.

Ensure that team members are aware of and strictly follow relevant policies, processes and procedures

 

Reporting

Support an effective reporting approach to enable monitoring of the performance of the projects and provide information (where required) to relevant stakeholders.

  • Maintain monthly status report in cooperation with the relevant team that accurately reflects the performance of the projects being rolled-out.
  • Support the development as well as the maintenance of the Demand Plan to enable KL Service Hub to predict the level of resource requirements for incoming project work, enhancements, and support activities.

 

 

Requirements

Education:

  • Tertiary education, preferably in project management, business administration, IT, or related subjects

 

Working Experience:

  • For Specialist minimum 3 to 4 years and Senior Specialist minimum 4 -5 years of project management experience
  • Demonstrated success in working in a complex work group of about 5-15 people
  • Profound knowledge of SAP and its processes as well as experience in implementation is of advantage
  • Experience in supporting operations of a shared service center or global business services
  • Good analytical skills and project implementation experience

 

Technical & Professional Knowledge:

  • Excellent communication and people management skills
  • Some knowledge ERP systems implementation methodology, supply chain process, Finance, Human Resources and Procurement that are relevant for project implementation are of advantage
  • Functional knowledge and skills in using Microsoft applications, i.e. Words, Excel, PowerPoint, Visio, Project Management Tool
  • Fluent in spoken and written English
  • Knowledge of any other Asian language is of advantage
