Purpose of the Job –
The incumbent in this position will be responsible for all payroll related tax activities, including compliance with local, state, and federal regulations and related tax filling responsibilities with 3rd party tax provider. This position will be responsible for overseeing and ensuring payroll taxes have been properly tracked, calculated, reported, and remitted to the appropriate taxing authorities in compliance with law from an employer tax perspective.
Knowledge and Experience –
- Minimum 5-7 years payroll tax experience/processing payroll
- Bachelor’s Degree a plus
- FPC or CPP designation preferred.
- Knowledge of SAP Payroll Tax
- Knowledge of ADP Tax Services
- Very detailed oriented
- Team player with excellent people and communication skills
- Solid understanding of Federal, State and Local Compliance.
- Solid understanding of Federal, Provice compliance for CA
Principal Responsibilities – The Payroll Tax Specialist ensures payroll reporting and payments for employer taxes are compliant with company policy, generally accepted accounting principles, federal, state/Province and IRS/CRA regulations for US and CA
- Ensuring 3rd party vendor (ADP) complies, paying all applicable tax filings accurately and in a timely manner.
- Prepare Tax payments not handled by ADP such as NV business tax and DE training fund
- Assist in the operations with ADP (tax filing service) and TALX (State Unemployment Rates) updating rates in SAP
- Handle all mailings/response from tax agencies
- Manage Daily operations with 3rd party vendor (ADP) for payroll tax administration
- Off cycle processing of third-party interface data monthly
- On cycle processing of third-party interface data monthly
- Performs payroll audits on technical wage types for SS/Medicare imputed income per pay period
- Liaison between IT and Payroll on new configurations and wage type requests and testing
- Yearly Audits
- Year end task: load of ER health care data, safe harbor files, reconciliation of vendor interface files and true up processing (Company Car)
- Tracking and submitting deceased wages to AP
- Attend Year End Webinars for US
Nature and Scope – How does this job fit into the overall scheme of operation?
- Work environment (extent of interaction with Supervisor(s) for approval, concurrence, resolution, etc.):
Individual will interact with payroll team for coordination of payroll processing for tax filing deadlines. Will notify manager if significant penalties or interest are due.
- Internal and external relationships (nature and frequency):
Individual will manage 3rd party payroll tax provider, ensuring effective performance measures, creating a clear contingency plan, and creating an overall shared vision of the relationship. Will review performance measures on a frequent basis with vendor. Will assist corporate tax department with tax information for the corporate tax filings.
